Better care for young people thanks to useful and simple app

Create in Skåne runs several LSS homes, HVB homes, support homes and also works with family treatment and outpatient care. An activity deeply rooted in human care that at the same time has high demands on well-functioning IT solutions. WeSafe has developed a business-oriented app, Create, together with quality managers in the organisation.

Henrik Widén works with communication and business development within Samskapa and is the one who has practically planned and structured the new app together with WeSafe.

From Excel to a simple, business-friendly mobile app

Previously, all handlers manually entered discrepancies on lines in Excel and for a while a simpler app was also used for discrepancy reporting. An anomaly could be that a young person has broken something, has not taken their medication or that a toilet has not been cleaned properly.

Challenges that Samskapa wanted to solve with a new IT solution were categorisation of different deviations with the possibility to issue relevant reports, and to ensure that certain deviations trigger different activities. For example, if someone does not want to take their medication, an anomaly should be made under the medication category and if there are shortcomings in the care, a Lex Sarah report is generated. General improvements and ideas will be included in a list that can then be discussed in a built-in comment forum.

Development through close cooperation and dialogue

Samskapa has previously engaged WeSafe for help, support and development of the Microsoft 365 environment, such as SharePoint implementation and general IT support. Since this collaboration has worked well, it was natural to continue working together. Henrik contacted WeSafe and presented his requirements.

"I have been responsible for the design and we have had a good ongoing dialogue. We've talked a lot about which features are worth developing or if there are easier ways to solve problems. Sometimes I've been quite vague in my questions, but I've gotten very good answers and concrete solutions back."

The solution for Co-create was a simple and user-friendly app called Create. The app is built in PowerApps in Microsoft 365 and integrated with Sharespoint where all the data resides.

Christoffer Thuneland, Microsoft 365 Specialist at WeSafe explains:

"Henrik already had previous experience with PowerApps and also had a pretty good idea of the possibilities available. We developed much of the final app in close collaboration.

Building in PowerApps is much smoother than doing it in C#, which would have required a completely different setup and far more development hours. A lot is already ready and we have been two people from WeSafe working closely with the customer for a three-month period from start-up to launch", says Christoffer at WeSafe.

Henrik on the final result:

"It was very important to us that the Create app is perceived as simple and easy for the user, but there is a fascinating amount of background work that makes it all work. There are a lot of rather complex flows spinning with reports, structures and flows being sent out automatically, which together help us to do a better job in our daily operations."

Continued development of the app

The Create app was rolled out in autumn 2020 to around 100 users, and after some adjustments based on feedback, the whole business is now up and running and embracing new ways of working. WeSafe and Samskapa continue to further develop the app and a Planner flow has been set up to help prioritise the work.

"We have many new ideas to develop the app further. Create will be a clear quality development tool that benefits our entire operation and ensures the journey of the young person, from enrolment to discharge. Statistics from the app will allow us to better monitor progress and also see trends. All of us in the organization will "Co-create" even more, have a fruitful exchange between teams and talk more about learning!"
